Privacy Policy

Written to British Columbia's Personal Information Protection Act (PIPA).

1 — Who we are and what we collect

1.1 The platform is operated by Hollywood North Film Festival Ltd. (BC1448960); if the festival's operations are assigned to the Hollywood North International Film Festival Society, that Society becomes the organization responsible under this policy and PIPA. The privacy officer can be reached at the festival's contact email published on the site.

1.2 We collect only what the festival needs to run: your email address and name (your account — no passwords exist to store); sign-in records including network address and browser type (security); activity times while signed in (so we know the site is used); likes and votes (the Audience Award); volunteer applications (name, email, phone, preferred duty, note); film submission details from FilmFreeway or direct entry (credits, contact, rights and consent answers); and event photos, taken only where consent was collected. We do not collect payment details — submission fees are processed by FilmFreeway under its own policy.

2 — What we do and don't do with it

2.1 We use personal information to run accounts and screenings, judge and program films, run the Audience Award, coordinate volunteers, pay prizes, promote films as the Filmmaker Terms allow, meet legal and grant-reporting duties, and keep the site secure. We do not sell personal information, and we do not use it for advertising.

2.2 We do not disclose personal information to sponsors or unrelated third parties for their own purposes. We may provide it to service providers acting for the Festival (hosting, video and image delivery, email), to authorized festival personnel who need it for their roles, to professional advisers, and to government or law-enforcement authorities where permitted or required by law. Submissions made through FilmFreeway are also held by FilmFreeway under its own policy.

2.3 The site sets only the cookies it needs to work: your session and your theme choice. There are no advertising or cross-site tracking cookies.

3 — Keeping, correcting, complaining

3.1 We keep records only as long as they do their job: sign-in and activity logs are routinely pruned; film records are kept as the festival's permanent programming history; records of agreements and consents are retained for as long as reasonably necessary for legal, contractual, evidentiary and legitimate business purposes, after which identifying information is deleted or anonymized where appropriate.

3.2 You may ask what personal information we hold about you, ask us to correct it, or withdraw a consent — withdrawing may end what the consent enabled, such as future use of your photo or receiving festival emails. (Rights to stream a submitted film are governed by the Filmmaker Terms and its agreed availability window, not by this policy.) Write to the privacy officer; we answer within the time PIPA sets. If you are unsatisfied, you may complain to the Office of the Information and Privacy Commissioner for British Columbia.

3.3 A new version of this policy is presented at your next sign-in and never edited in place. Material changes affecting the collection, use or disclosure of personal information will be brought to your attention, and additional consent will be obtained where the law requires it — publishing a new version does not by itself authorize a new use of your information.
